Sources: Most records were found in various places throughout the building. Some records were brought in by current and past officers. The visitor register for 1895-1918 was purchased at a book sale for ten cents by Rodney Armstrong and given to the Athenaeum in 1962. The “Act of Incorporation” printed in 1817 was received from the estate of Mrs. Edward Wendell in 1963. The architect’s drawing of the front view of the Athenaeum with balcony was given by Joseph W. P. Frost.

Summary
Records of the circulation library, including book catalogs, circulation registers, purchase and gift records, and curatorial records of the museum operations; administrative records including minutes, membership records, and business correspondence; organizational records including financial records, building maintenance records, and employee files; and some records of the New Hampshire Fire & Marine Insurance Company, whose business obligations and claims were assigned to the Athenaeum in 1825.
Scope and Content
The records of the Portsmouth Athenaeum in this collection span the years 1816, when the institution was formed, through 1895, which was chosen as the cutoff date for this collection. These are the business and administrative papers of the Portsmouth Athenaeum whose primary activity was the maintenance of a circulation library, with the largest series of records being related to library functions such as book purchases, circulation, and information requests. The records are divided into two subgroups, one of the Athenaeum’s own records and one of the New Hampshire Fire and Marine Insurance Company records. The insurance company records fill half an archival box and are not divided into series. They entail the administration of the insurance business after its claims and assets were assigned to the Athenaeum in 1825 until the claims were settled and the dividends paid in 1846.
The Athenaeum records are divided into seven series based loosely on a hierarchical division of the materials from administrational records to operational records to library records. The first three series are administrational records. Governance of the Athenaeum was generally done by annual meetings of the proprietors, regular meetings of the directors, and various temporary committees. The proprietor records and those general records which apply to the proprietor administration are in the first series. Those records directly relating to directors and committees are in the second series. These two administrative series make up approximately one third of the collection and generally consist of meeting minutes, reports, and legal papers. Proprietor records include visitor registers, share transactions, and all non-specific records relating to the overall institution. Directors records contain the administrative correspondence (including that of the president, secretary and treasurer). A large part of that correspondence are invitations to temporary residents to use the Athenaeum and acknowledgement of their invitation. Most of these invitations were issued to navy and other military officers stationed in the area but also included dignitaries, on of which was President Franklin Pierce (1859). The administrative correspondence also contains the circular letters sent to all proprietors, primarily yearly reports by the president. Committee records are for the most part meeting minutes. In some cases there are extensive committee records with correspondence, meeting minutes, and financial records. There were committees on every aspect of the administration such as building maintenance, library procedures and financial arrangements. Committees were temporary until 1955 when a Nominating Committee was established by the by-laws to prepare nominations of officers and directors. There are bi records if this committee but their nominations are reported at the annual meeting. Other permanent committees have since been established: the Finance Committee and Library Committee in the 1959 by-laws and the Admissions Committee in the 1979 by-laws.
The third series, Secretary’s Reports and Annual Financial Statements were compiled by the secretary/treasurer for presentation at the proprietors’ annual meeting and until 1907 they are for the most part duplicated in the annual meeting minutes. The last secretary’s report is in 1898 and there are no separate annual financial reports for the period between 1894 and 1921. After 1921 there are financial reports prepared for the annual meeting that are not duplicated in the minutes. From 1959 through 1984 an outside auditor prepared the annual financial statement although there are a few preliminary statements prepared by the treasurer. In 1985 the annual financial statement is again prepared by the treasurer.
The next three series are the general operational records: the financial and investment records, employee records and building records. These records center around the fiscal and business aspects of operating the institution. There are account books, general bills and receipts, salary receipts and employment records, receipts, record and correspondence for building equipment and maintenance.
The last and largest series of records (four linear feet) are those connected to the library and curatorial functions of the Athenaeum. These include the organizational records (i.e. book catalogs, accession books, and shelf lists), and the administrative and financial records (i.e. book donations and purchases, and information requests). A small portion of the records are curatorial and document the museum objects in the Athenaeum, including catalogs of materials, correspondence on object loans, and restoration and purchase receipts.
Historical Notes
1816 Dec Meeting is held on the establishment of a public reading room and library in Portsmouth. A committee is appointed to draw up a set of regulations and articles and send it around for subscription.
1817 June Act of Incorporation by New Hampshire Legislature
1818 March Elected officers and directors; established bylaws and regulations; 50 shares were established
1819 Jan Timothy Upham offers a room at the Customs House for the use of the library
1823 The subscribers who have purchased the New Hampshire Fire and Marine building convey the Athenaeum building to the proprietors in return for proprietor shares. Fifty new shares are distributed.
1826-1827 Constructed a new sloped roof
1830 John Fisher of London donated approximately 300 volumes
1834 Book Catalogue was distributed to proprietors. Voted that rooms be closed at 10pm and opened at sunrise
1849 New catalog printed. Voted that a verandah be built in front of the Athenaeum provided that sufficient funds be raised through subscription.
1851 Aug. Voted to light the rooms with gas.
1855-1856 The reading room was remodeled; the Merchantile Library Association offered the use of their rooms during repairs.
1861 Cut through the third floor ceiling to make a balcony. Installed new furnace and improvements were made to the cellar.
1862 Jan. Revision of the bylaws.
1863 Jan. Voted to substitute kerosene for gas in the library room.
1877 Bequest of Benjamin T. Tredick library of 1323 volumes
1882 Old furnace was replaced.
1884 March Changed the bylaws.
1891 Nine cases of books from Mrs. Annie G. Eddy representing her husband’s office library received but not opened due to lack of shelf space.
1892 Jan. Changed the bylaws.
1893 About 1200 Government documents were removed to the new county building on State Street
1893-1896 Reading Room was renovated.
1899 Bequest of the library of Charles Levi Woodbury. Adopted a card catalogue system.
1907 Gift of the library of Jacob H. Thompson.

1982 Jan. Accepted the resignation of Joseph Copley as curator and awarded him life proprietorship.

Athenaeum block plot plans are filed in the Small Map Case. Some insurance policies for the years 1823 and 1881 are filed in Oversize, as is a meteorological journal kept in 1828-1829. A Portsmouth Marine Society stock certificate is filed in the Flat Box.
